One of the best time-savers in GoldMine is the ability to e-mail by group or filter to segments of your database. To fine-tune your lists, GoldMine has an “e-mail merge codes” field associated with every e-mail address. However, the “E-mail Merge codes” field can be difficult to manage across the whole database, because it doesn’t actually appear on the front screen in GoldMine. Many users don’t even know that it is different and separate from the contact-level “Merge Codes” field.
Using GoldMine’s e-mail merge wizard, you can send an e-mail to any record in your database (or any record in a group or filter) whose e-mail merge codes field contains a given value. A code in the e-mail merge codes field allows you to differentiate between different contacts WITHIN a filtered or grouped contact record.
Say, for example, you want to send out a newsletter or marketing piece by e-mail to past buyers of a product you sell. You don’t want to send the piece to every contact you have at that company, and the main contact at the top of the page might not be the appropriate recipient. You just want to send to those contacts for whom the e-mail will be relevant.
You might go through your database and place a code of “M” in the e-mail merge codes field for every e-mail address that should receive this e-mail. But how do you manage these codes over time, as appropriate users change and different initiatives come up on your side?
With MM Updater, you can manage e-mail merge codes on a mass basis if you include the “E-mail RecID” field when you create your MasterMine report. With the “E-mail RecID” field, you can update e-mail merge codes in Excel for any record that contains an e-mail address. After making your changes to the e-mail merge codes field on your drilldown sheet, and invoking MM Updater, remember to click “E-mail RecID” as your “match field” so that MM Updater finds the correct sub-record containing the e-mail addressing information.
