Upgrading to GoldMine PE 8.5 or 9.0?

Whenever you upgrade GoldMine, we recommend that you also upgrade MasterMine to the most current version.  That way, you automatically get the benefit of whatever new features, functions, or bug fixes we have added that address changes in the newer versions. This is also the most seamless way to keep your MasterMine functioning properly for all users.

Just download the most current software from our website (www.mastermine.net) and install right over the existing application.  If you are current on annual maintenance, and you are upgrading from a version earlier than 7.0, call us for a new MasterMine license number.

If you are already using MasterMine under an earlier version of GoldMine, and are upgrading to PE 8.5 or 9.0, here’s what else you need to know about upgrading:

Notes: GoldMine 8.5 and 9.0 handle notes differently than earlier versions.  After your MasterMine upgrade, you will need to re-create reports that use notes.  MasterMine automatically formats the new notes so they are most intelligible for reporting, and strips out unwanted HTML coding.

If re-writing your reports sounds like a daunting task, or you’d prefer to have it handled by experienced hands, it is possible to re-build the “back end” of your reports leaving the visible part exactly the same, but refreshable against your new database.  Contact our report writing experts if you need help.

Toolkit for Cases

MasterMine for GoldMine includes a built-in set of templates for reporting on Cases, the new GoldMine 8.x “Service Module”. Don’t forget to “turn on” your Cases Toolkit when you upgrade to GoldMine Premium Edition. Find the new toolkit in the “Create MasterMine Report” dialog under “Preferences”.

GoldMine 9.0 Dashboards and MasterMine

The latest version of GoldMine, version 9.0 due out in June or July 2010, includes two major new capabilities:  Dashboards and Outlook Integration.  This article addresses the dashboards – Outlook integration may be discussed in a later post.

The dashboards piece is aimed directly at those tempted by SalesForce.com, a “cloud” CRM system that touts its management-friendly interface as a major selling point.  Because the decision-makers at many CRM-using enterprises are not necessarily the same people who use the system day-to-day, this was a canny move on the part of GoldMine to match what is often only a cosmetic advantage for SalesForce.com.  Since GoldMine has some other clear advantages over SalesForce.com as a practical selling tool, we think the new dashboards will improve GoldMine’s competitiveness in the marketplace of small-to-medium sized business, and that’s a good thing.

So how does this new capability affect MasterMine users?  Managers DO need to be able to get good information quickly and easily, and GoldMine 9.0’s new dashboards provide potentially a handful of new, useful views into GoldMine data that Management can use to “oversee” their GoldMine-based processes.  By definition, a dashboard is a very high-level view of “what’s going on.”   Our take is that this will merely whet Management’s appetite for more and better, more current, more flexibly presented information.  A little good information begets more questions than it answers.  Fortunately, MasterMine users can be the heroes that answer this need. New Release – MasterMine for GoldMine 6.0.387

The latest release of MasterMine for GoldMine, v 6.0.387 on April 26, 2010 includes a number of bug fixes and some important new features. 

- For Office 2007 users, MasterMine no longer defaults to “compatibility mode”, so you can take advantage of much higher limits on unique values, graphics capabilities and such.  See our knowledgebase article on the improved flexibility and data quantity limits under Excel 2007.

- When a GoldMine group or filter is used, default to limit entire report to only contact records that are in the group or filter

- Add StageAge field to Opportunities reports:  StageAge is the number of days opportunity has been in its current stage.

- Add Opp.Response Mode field for Opportunities:  New field with GoldMine 8.x

- Add fields for easy tracking of most recent and next scheduled activity related to any given Opportunity, available with all Opportunity reports:
LastOppHistoryDate, LastOppCallDate, LastOppApptDate, LastOppHistoryRef, LastOppHistoryCode, LastOppHistoryResult, LastOppHistoryNotes, FirstOppPendingDate, FirstOppPendingRef, FirstOppPendingCode, FirstOppPendingNotes

- Fix installation or user-defined functions (i.e. Primary E-mail address, etc.) for SQL 2008

 - In MMUpdater, default to saved settings on repeat of update, so user no longer has to re-enter them each time

MasterMine vs SQL Queries – Part 2

Alert reader Dennis Harrington asked me to explain further our preferred way of handling “last completed call” in GoldMine. My response:

I would use the built-in MasterMine template called “Last completed call”.  The advantages are these:
1. I can include any data elements from history or contact1 or contact2 just by checking them on.  No need to know GoldMine data structure and field names.
2. It pulls date, reference, notes, etc. already formatted in a useful way, so I don’t have to construct expressions that strip trailing spaces, parse out data from “shared” fields like history reference, etc.
3. Best of all, it gives me a multi-dimensional pivot-table to work with instead of just a flat list.  I can arrange this a million possible different ways to tell me anything I need to know that relates to “last call” instead of just giving me one answer to one question.
4. The whole package is stored as a re-usable Excel workbook, so I can retrieve, refresh and re-purpose this info any time I need to.
