Mass-managing E-mail Mergecodes in GoldMine?

You can use MasterMine to manage your whole database's e-mail merge codes very conveniently. This allows you much better control over who gets various mass e-mails in GoldMine.

Here's the trick: Be sure to include the Cs.EmailRecID or CX.EmailRecID in your MasterMine report during creation. Then use that field in MMUpdater as your "match field" so Updater knows which record to update among your e-mails.

Want more explanation on this? Comment or send us an e-mail to Marketing@mastermine.net and we'll post a more detailed blog entry.

I recently watched with fascination on the FrontRange Online Forum as a number of users grappled with attempting to create a be-all, do-all SQL query to extract the "last history item" from GoldMine.

They were all very good with Transact-SQL, and eventually came up with an elegant solution to the specific problem they had for that particular user that day. But the result would not translate easily into a solution for the NEXT time they would need information in the area of "last history item", or for another user whose GoldMine is not set up using the same rules.

As an owner of MasterMine, you can be glad that you have this information available to you at the click of a button, plus the ability to rearrange the results a hundred different useful ways (broken out by user, by date of last activity, by ...) as your needs change, and to act on what you learn.

The easiest way to do this is to simply re-run the report, placing check marks on the desired fields. Many people don't think to do this because they don’t realize how quick and easy it is to create a report using MasterMine, or because someone else generated the report originally and they just "share" it, and may not be familiar with the fields included.

However, sometimes you've done so much work with a report that you're not confident you can recreate it quickly. For these situations, there's MSQuery--MS Excel's back-end query management tool. Full instructions for using MSQuery for this purpose are in Chapter 10 of MasterMine's user manual. MSQuery allows you to drag in additional fields from existing tables, link additional tables, and even modify the Transact-SQL expression by hand.

For those more familiar with Transact-SQL, here's an additional trick that could save you hours and get you quickly to a solution: Get the approved MasterMine SQL syntax for any field from the MasterMine "Create" dialog, which you can then copy and paste into the SQL expression in MSQuery.

1. Start with the MasterMine report you want to change already open in Excel.
